Child Safeguarding Statement for Adverts

TITLE:   Project Support Officer

TEAM/PROGRAMME:  Shanghai

LOCATION: Guangzhou

GRADE: 5

CONTRACT LENGTH: 2 years.

CHILD SAFEGUARDING: (select only one)

Level 2: either the post holder will have access to personal data about children and/or young people as part of their work; or the post holder will be working  in a ‘regulated’ position (accountant, barrister, solicitor, legal executive); therefore a police check  will be required (at ‘standard’ level in the UK or equivalent in other countries).

ROLE PURPOSE:

To provide efficient and effective support to implementation of Guangzhou Projects, include admin,supply chain, logistic, IT,asset management and maintenance, finance voucher management and documentation,

 In the event of a major humanitarian emergency, the role holder will be expected to work outside the normal role profile and be able to vary working hours accordingly.

SCOPE OF ROLE:

Reports to: Shanghai Admin  & Supply Chain Officer

Direct: N/A

Budget Responsibilities: N/A

KEY AREAS OF ACCOUNTABILITY :

Ø  Provide the daily administrative support in Guangzhou team

Ø  Following the work plans/ procurement plan of Child Protection, SHN, ASST

Ø  Logistic arrangement for other Office (Beijing, Shanghai, Xinjiang, Yunnan, Sichuan), or request from Member visitors if necessary

Ø  To collect and document all the expense claim vouchers in Guangzhou Team, prepare the monthly payment vouchers for suppliers such as office supplies,      property, internet, telephone and ensure to be paid on time

Ø  To assist Shanghai Admin Officer to update the Guangzhou supply chain list and update procurement tracker on monthly

Ø  Vetting and maintain relationship with related suppliers

Ø  Asset management and overall maintenance of the office premises, facilities assets and equipment in Guangzhou office and quarterly update.

Ø  Arrange and organize for all non-programme activities, events, outing, annual dinner, team building ,training support to improve our culture

Ø  Office storage management and maintain a good working environment

Ø  Handle other administrative and supply chain tasks as needed from time to time in order to ensure the smooth running of the team

QUALIFICATIONS 

Bachelor degree or above


EXPERIENCE AND SKILLS

Essential

Strong interpersonal skill and ability to handle multiple tasks

Strong sense of responsibility and good organization and communication skills,

Good written English skills and good Cantonese communication skills

Familiar with using MS Outlook, Word and Excel

Minimum 2 years relevant working experience on administration or project assistant.

Can work under pressure

Desirable

experience in iNGO is an asset
