TITLE:  Admin Officer

TEAM/PROGRAMME: HR&Admin&IT

LOCATION: Beijing, China

GRADE: 5

CONTRACT LENGTH: Fix Term

POST STATUS: National

CHILD SAFEGUARDING:

Level 3:  the post holder will have contact with children and/or young people either frequently (e.g. once a week or more) or intensively (e.g. four days in one month or more or overnight) because they work country programs; or are visiting country programs; or because they are responsible for implementing the police checking/vetting process staff.

ROLE PURPOSE:

This position is to support admin function to ensure that all administrative services are rendered in an effective, efficient, customer-oriented, and professional manner to all internal and external customers. in order to deliver effective admin service in Beijing office. In the event of a major humanitarian emergency, the role holder will be expected to work outside the normal role profile and be able to vary working hours accordingly. 

SCOPE OF ROLE: 

Reports to: Head of HR, Admin and IT

Staff reporting to this post: No 

Budget Responsibilities: No

KEY AREAS OF ACCOUNTABILITY : 

·       Overall maintenance of the residence/office premises, facilities assets and equipment in Beijing office and ensure that these are secure and efficiently utilized.

·       Stamp management; contracts/documents filing.

·       Manage Beijing office logistical support for staff/visitor’s travel arrangements, meetings, events, training and workshops as required.

·       Maintain administrative daily ordinary operation such as stationeries, drinking, office cleaning and sorting, mail express receiving and sending.

·       Liaise with supplier for translation request

·       Handle other administrative tasks as needed from time to time in order to ensure the smooth running of the team and the Save the Children China programme.

·       Check the debt notes for logistics, hotels, office supplies, office premises, internet/telephone/conference services, translation and ensure to be paid on time.

               ·      Ensure that the necessary policies and systems exist and that policies and procedures are modified in a timely and appropriate manner in coordination with Logistics, Finance, and others as necessary

EXPERIENCE AND SKILLS

Essential:

·       Master Degree, 0~1 years work experience in Admin-related field. Fresh graduate is also considered.

·       Good interpersonal skill and ability to handle multiple tasks

·       Good written English skills

·       Familiar with using MS Outlook, Word and Excel

·       Detail oriented, strong sense of responsibility. 

·       Commitment to and understanding of Save the Children’s aims, values and principles.

Desirable

Interested in NGO industry; Fast learner.
