TITLE:  Admin Officer

TEAM/PROGRAMME: HR&Admin&IT

LOCATION: Beijing, China

GRADE: 5

CONTRACT LENGTH: Fix Term

POST STATUS: National

CHILD SAFEGUARDING: 

Level 3:  the post holder will have contact with children and/or young people either frequently (e.g. once a week or more) or intensively (e.g. four days in one month or more or overnight) because they work country programs; or are visiting country programs; or because they are responsible for implementing the police checking/vetting process staff.

ROLE PURPOSE: 

This position is a key member in HR&Admin&IT team, his/her role is aiming to support the whole team and will focus on admin function to ensure that all administrative services are rendered in an effective, efficient, customer-oriented, and professional manner to all internal and external customers. In the event of a major humanitarian emergency, the role holder will be expected to work outside the normal role profile and be able to vary working hours accordingly.

SCOPE OF ROLE: 

Reports to: Head of HR, Admin and IT

Staff reporting to this post: No 

Budget Responsibilities: No

KEY AREAS OF ACCOUNTABILITY : 

  • Overall maintenance of the residence/office premises, facilities assets and equipment in Beijing office and ensure that these are secure and efficiently utilized.

  • Stamp management; contracts/documents filing.

  • Manage Beijing office logistical support for staff/visitor’s travel arrangements, meetings, events, training and      workshops as required.

  • Maintain administrative daily ordinary operation.

  • Handle other administrative tasks as needed from time to time in order to ensure the smooth running of the team and the Save the Children China programme.

  • Take back up role when other team member in short absence.

QUALIFICATIONS 

  • Certificate of Bachelor degree

EXPERIENCE AND SKILLS

Essential:

  • 3-5 years of work experience in Admin-related field, preferably have Contract or filing management experience. (the level and title will be adjusted depends on final candidate’s qualification and experience) 

  • Good interpersonal skill and ability to handle multiple tasks

  • Good written English skills

  • Familiar with using MS Outlook, Word and Excel

  • Detail oriented, strong sense of responsibility. 

  • Commitment to and understanding of Save the Children’s aims, values and principles

Desirable

Interested in NGO industry
